The German Commission for UNESCO (DUK) takes the protection of your personal data very seriously. The following privacy policy provides an overview on how we ensure your privacy, and specifies in detail what data is collected for which reasons. Compliance with the provisions of the General Data Protection Regulation (GDPR) and other legal provisions is both binding and self-evident to us.

Personal data and appropriate use

Personal data are information about you, such as name, address, birthday, telephone number, or email address. In certain cases, we do need your name, email address and further information that allows us to provide the requested services to you (e.g. mailing the newsletter). If we ask you for additional information, then this information will be provided by you on a strictly voluntary basis.

The personal data is processed exclusively to be able to render the requested service (e.g. application, contact form). The personal data provided by you will be collected, processed and used exclusively for the purposes communicated. Your personal data will not be disclosed to third parties without your prior consent. External service providers who are processing data on our behalf are obligated to comply with all applicable data protection regulations, and are not deemed third parties in data protection terms.

You are entitled to revoke a consent already given at any time. The purposes of the data processing are indicated at respective locations on our websites, and are not subject to any subsequent changes.

Use of Matomo

On this website, data are collected and stored by using the Matomo (www.matomo.org) web analysing service software, a service provided by InnoCraftLtd., 150 Willis St, 6011 Wellington, New Zealand ("Matomo") based on our legitimate interest in the statistical analysis of user behaviour for the purpose of optimisation and marketing in accordance with Article 6, paragraph 1 lit. (f) of the GDPR. For the same purpose, pseudonymised user profiles can be created and analysed from these data. Cookies can be used here. The data collected (including your pseudonymised IP address) by using the Matomo technology are processed on our servers.

The information in the pseudonymised user profile generated by the cookie will not be used to identify the visitor(s) of our website, and will also not be combined with the personal information of the bearer of the pseudonym.

If you disapprove with the retention and analysis of these data from your visit, you can object to the retention and use of the data at any time below with a simple mouse click. In this case, a so-called opt-out cookie is set in your browser which means that Matomo does not collect any data from your visit. Please note that, if you choose to delete your cookies, the opt-out cookie is deleted too as a consequence, and therefore must be reactivated by you.

Social media and plugins

For reasons of protection of personal data, we do not use any social media plugins. This website uses a social channel feed module which allows us to retrieve feeds/data/contents of our various social channels, and integrate them into the website. Personal data are not transferred onto the operator’s server, as the data are loaded directly from the kulturweit server, and no connection is established with the server of the respective website.

Newsletter

If you would like to subscribe to our newsletter offered on our website, we will need your current email address and - on a voluntary basis - your first and last name. No further data are collected for this matter. The legal basis for the retention of contact data is Article 6 paragraph 1 sentence 1 lit. (a) of the GDPR. These personal data are not disclosed to any third parties. Your consent given to subscribe the newsletter and to store the data and email address, as well as the processing of data for the mailing of the newsletter can be revoked at any time via the unsubscribe link in the newsletter or with a respective notification to kontakt(at)kulturweit.de.

E-Mail-Kontakt
Whenever you send us an email, for example via the contact form (www.kulturweit.de/en/contact), your email address is submitted. This email address is used exclusively to respond to your enquiry. It is not processed for any other purposes. Your email address is not disclosed to any third parties. The legal basis for the processing of your data submitted in the contact form is Article 6 paragraph 1 sentence 1 lit. (f) of the GDPR. We will delete any data generated in this context immediately upon completion of the processing of your request, if the retention of the data is no longer required.

Which data are recorded? Purpose of the collection, processing and disclosure of data

As part of the registration, and in order to provide you the service of the online application management over the Internet, we do require your email address and a password (user data) as mandatory information.

The participation in this online application process is officially valid without signature.

After registering in our application portal and activating your personal access (double Opt-In), you can fill in, update and, if necessary, delete your data relevant to the application in the online application form. The data entered by you are collected, processed as well as disclosed, if necessary, and used exclusively for the selection of applicants. The legal basis for the retention of your data is Article 6 paragraph 1 sentence 1 lit. (a) of the GDPR.

The DUK assures you that your information is treated confidentially.

As part of your entries into the online application portal, you have the option to enter circumstances that might impact your deployment or need special attention (e.g. chronical diseases).

Who do we disclose your data to?

The information submitted by you is treated strictly confidential. In a protected database of applicants, the DUK grants our partner organisations (German Academic Exchange Service, German Archaeological Institute, DW Academy, Goethe Institute, Educational Exchange Service, Central Office for Foreign Education, various National Commissions for UNESCO) access to your application. During the remaining selection process, your data might be transmitted to European and non-European countries. Within the DUK as well as our partner organisations, your information is only disclosed to persons who are directly involved with the specific selection process for the volunteer service.

Access right, processing and deletion of your data

You are able to view, change or delete your data entered until the end of the application process. Upon completion of your application process, this will be no longer possible. If you do not participate in the volunteer service, the data will be stored with DUK for a maximum period of six months upon completion of the application process, and deleted subsequently. You will not receive a specific notification regarding this process. If you do participate in the volunteer service, the data stored will be adopted for the purpose of programme management, and deleted from the application portal six months upon completion of the volunteer service.

  

kulturweit-Coworking-Space (coworking.kulturweit.de)

The kulturweit Coworking Space (CWS) is a feature offered by the German Commission for UNESCO (DUK). The CWS serves as communication platform for current volunteers, kulturweit alumnis, trainers and kulturweit employees, as well as for the coordination of their respective activities.

Which data are stored, and what part of it is published?

  • Basic information
    kulturweit invites you to join the Coworking Space. In order to become a member of the Coworking Space, you must accept this invitation. You will be able to set up a personal profile, if you are a member only. Here, you decide which data you would like to publish. At all times, you can view, change and delete these data via the profile page. After a successful login, you will be able to retrieve your profile immediately.

  • Profile image
    In general, a standard image is displayed automatically, which does not allow the identification of individuals. The “Upload user image“ allows you to upload your personal profile image.

  • Your comments
    You have the option to comment on contents. Your comment will then be visible to everyone in the platform. The comment can be deleted anytime.

  • Events
    If you have the relevant system authorisations, you will have the option to create events. This can be used to coordinate schedules with other coworkers. Someone is responsible for each event date. He/she decides, whether and which data can be accessed via the respective event date. This includes, among others, information about whether the event is restricted to a certain group of persons, or whether it is open to the public and thus accessible for all coworkers. Furthermore, the number of participants can be restricted.

  • Search functions
    The platform provides different options for the search of specific coworkers/contents/events. Your profile can also be found by other users accordingly.

  • Notifications via email
    Notifications about events regarding group activities of groups you follow can be sent by email. Under “My account” in the “Message settings” these settings can be adjusted.

  • Withdrawal from the Coworking Space
    By using the "withdrawal" button, you can end your membership with the kulturweit Coworking Space. In the process, you have the option to either deactivate your profile and retain the content created by you, or to delete your profile completely, including all contents created by you.

Which data are collected during the use of (subscription to) the kulturweit channel (Messenger Newsletter)?

For the mailing of our messages to the Messenger Apps WhatsApp, Telegram and Insta, we us the WhatsBroadcast in Germany. After subscribing to our information channel and activating the function to receive news from us via one of the messengers, WhatsBroadcast will use your telephone number to mail these messages.

Further information and the privacy policy of WhatsBroadcast can be found here. The use of WhatsBroadcast by our company is based on an order processing agreement concluded with the service provider to ensure the compliance with the provisions of the European general data protection regulation.

WhatsBroadcast uses your personal data submitted by you in WhatsApp and Telegram, including the first and last names, device, profile image and the messages exchanged with WhatsBroadcast in order to render the requested service. These data are stored in an encrypted database. For Insta, an anonymised ID is used only.

If you are a user of WhatsApp and Telegram, these services also collect personal data from you, independent from WhatsBroadcast. To find out detailed information about the purpose and volume, processing and use, your rights and configuration options regarding the protection of your privacy, please refer to the respective service providers.

The above mentioned data are used exclusively for delivering the messages from our information channel. We will not disclose or use the data for any other purposes. The data is not visible or accessible to other subscribers, as we do not send group messages, but mail our messages to a broadcast list.

How can you unsubscribe?

You can unsubscribe from this service at any time. To do so, simply sent the message "Stop" in your messenger to den kulturweit channel. If you also wish to have all data deleted, please send the message "alle Daten löschen".

Data security

In accordance with Article 32 of the GDPR, we are implementing all necessary technical and organisational security measures to protect your personal data from loss, misuse and unauthorised access. All employees of the DUK and all third parties involved in the processing of the data are obligated to comply with the General Data Protection Regulation and to treat personal data confidential. Access to the data is restricted to the internal departments and their respective individual employees involved in the communication. If personal data are collected and processed, the information will be disclosed in encrypted form in order to prevent any misuse of the data by third parties. Our security measures are continually enhanced as new technology becomes available.

Right of access and right to object
